Privacy Policy

This policy describes how AI Visibility Monitor (the “Service”, “we”, “us”) handles information about you when you use this product. The Service is currently in private beta; expect this policy to be updated as the product evolves.
What we collect
- Account information. When you sign in with email and password via Firebase Authentication, we receive your email address and a user identifier.
- Organization data. Business name, website, vertical, location, brand description, and aliases that you provide when creating or editing an organization profile.
- Competitor data. Competitor names, websites, and notes that you add.
- Prompt data. The prompt sets and prompts you create or seed from starter packs.
- Scan data. Scan records, per-prompt evaluations, competitor evaluations, aggregate OpenAI token usage, and AI-generated recommendations.
- Product feedback. If you submit feedback through the in-app feedback form, we store the message, category, your user ID, your email, and the page you were on.
How we process AI requests
When you run a scan, the text of each active prompt, your organization's profile (name, vertical, location, description, aliases), and your competitor list are sent to OpenAI for evaluation. OpenAI's own API terms and privacy practices apply to that processing. Scan results and recommendations are stored in your account and are not shared with other users of the Service.
Where your data lives
- Account authentication: Firebase Authentication (Google Cloud).
- Stored data: Firestore (Google Cloud, nam5 multi-region).
- Serverless compute: Firebase Cloud Functions / Cloud Run (Google Cloud, us-central1).
- Hosting: Firebase Hosting.
- AI processing: OpenAI.
Cookies and tracking
We do not use marketing cookies. Firebase Authentication uses browser storage to keep you signed in. We do not use third-party advertising or cross-site analytics.
Your choices
- Update your organization, competitors, and prompts at any time from the dashboard.
- Delete competitors, prompts, or prompt sets directly from the Service. Deleting a prompt set cascades the prompts inside it.
- Sign out from the Service at any time via the Sign out link.
- Request full account deletion, including scan history, by contacting us.
Changes
We may update this policy as the Service evolves. The date at the top of this page reflects the most recent revision.
